  • Task 1 - Understanding the structure and purpose of different documents?

    So it’s your first day in your new job and aren’t you keen!

    Bill and Ted are interested in the types of documents used within the company. They want to ensure that everyone is using the right document in the right circumstances. They want the company to have an agreed structure to these documents. They believe this is worth doing as makes the company look more professional and organised.

    They have asked you to use MS Publisher to create a company newsletter which includes the appropriate information.

    Time Allowance
    Bill has asked you to report back at the end of the first fortnight. This means you have 5 hours plus any overtime (homework) you need to do.

    Grading Criteria
    P1: describe the structure and purpose of different documents, one from each document type.

  • Task 2 - Describe the different types and sources of information and ways of checking its validity.

    Bill has been very pleased so far and would like you to extend the newsletter so it contains more information. As they expand they are going to be: researching new locations and resorts; providing clients with travel advice for particular countries; and managing much larger amounts of data.

    Bill has given you a list of information he would like to see included in the task.

    Time Allowance

    Task Guidance :
    Add a section to your newsletter that includes the following information:

    Part A: Describe what is meant by the terms ‘structured’ and ‘unstructured’ information.

    Part B: Explain, using appropriate examples, the value of converting information from one type into another (eg converting continuous text with tables or numeric information into charts or graphs).

    Part C: Describe three different ICT sources.

    Part D: Describe three different non-ICT sources.

    Part E: Describe ways of checking the validity of information gathered from these sources.

  • Task 3 - Select and use document templates.

    Bill and Ted are very pleased with your newsletter and would like to use your creative skills to produce a flyer.

    The flyer would be used to promote the company and what they do. The target audience will be students.

    Time Allowance
    Bill and Ted have their first presentation of the year in a fortnights time. You need to have this ready in 5 hours plus any overtime (homework) you need to do.

    Grading Criteria
    P4: select and use document templates .

    M1: Create different types of documents to convey the same information to different audiences.

    Task Guidance :
    Using a Microsoft Publisher Template create an A5 flyer that promotes the company to students.

    Merit Task:
    Bill and Ted understand that parent may want to know different information than the students or at least have it presented in a slightly different manner. Using a Microsoft Word Letter Template present the same information to an adult audience.

  • Task 4 - Use appropriate file names and folder structures to save documents.

    You have been in your new job almost two months now and are starting to notice a few problems. One problem appears to be the network drives and user areas are completly disorganised.

    You send Bill a text message asking if you can tidy up the shared area and create some standard folders – He agrees.

    Time Allowance
    Bill and Ted have their first presentation of the year in a fortnights time. You need to have this ready in 2 hours plus any overtime (homework) you need to do.

    Grading Criteria
    P5: use appropriate file names and folder structures to save documents

    Task Guidance :

    Task A: Take a photo and/or screenshot of your text message to Bill.

    Task B: Create a series of folders inside your BTEC folder as suggested by the following names:

    • website
    • graphics
    • promotional
    • communications
    • presentation

    Ted is relying on your ICT experience to place the completed documents in the correct folder.

    Ensure that each document is appropriately named and stored in the correct folders.

    Screenshot all your folders showing that you have completed the task and submit them alongside a copy of your informal text message.
